Job Title: Program Coordinator, Contra Costa County (Bilingual Spanish/English)
Starting Salaray Range: $40,000 - $42,000
Payroll: Non-exempt
The Organization:
Operation Access (OA) is a non-profit organization that mobilizes a network of medical volunteers, hospitals, and referring community clinics to provide low-income, uninsured people with donated surgeries & specialty care that significantly improve their health, ability to work, and quality of life. OA was founded in 1993 and serves over 1,000 patients per year in six Bay Area counties (Alameda, Contra Costa, Marin, San Francisco, San Mateo, and Sonoma).
Job Overview:
The Bilingual Program Coordinator determines patient eligibility, coordinates case management, coordinates administrative and interpretive volunteers, cultivates hospital staff relationships in Contra Costa County and participates as an essential team member to building OA’s capacity to meet the growing need for specialty care access in our community.
REPORTS TO: Regional Program Manager, East Bay
Areas of Responsibility (percentage breakdown is approximate):
Eligibility Screening & Outreach (~10%)
- Work with Program Assistant to enter incoming referrals into the patient database.
- Work with Program Assistant to screen individuals subject to OA’s eligibility criteria.
- Develop and utilize knowledge of local safety net systems for target population.
- Work with Program Assistant to produce introductory correspondence with patients and referring clinicians.
- Act as the point of contact for all clinical and administrative staff of referring clinics.
- Maintain communication with referring clinics in assigned service area to ensure proper use of OA referral system. Update clinics on specialty services offered through OA, as needed.
- Attend local clinic meetings, as needed.
Case Management, Volunteer & Network Support (~70%)
- Coordinate patient care and document activity throughout process of obtaining surgery.
- Schedule clients for surgical and specialty services appointments and surgeries. Produce correspondence as medical appointments are scheduled and make reminder calls to patients.
- Coordinate and attend Saturday surgery sessions and at which services are provided by all-volunteer teams, at least two per quarter, in collaboration with Program Manager.
- Notify participating facilities and medical groups of cases as needed.
- Recruit, train, and manage administrative and interpretive volunteers.
- Participate in organization of annual regional volunteer celebration, including creating invitee list, coordinating invitation mailing, developing budget, coordinating logistics.
- Conduct various activities to recognize volunteers, in collaboration with Program Manager.
- Assist in communication with volunteers on a regular basis to maintain participation with OA.
- Work with Program Assistant to send and process patient satisfaction surveys.
- Obtain necessary forms, medical records and close out patient files.
- Regularly update patient and contact databases, including obtaining missing contact information.
- Produce reports on utilization of stakeholders such as clinics and hospitals, in collaboration with Program Manager.
Organizational Support (~10%)
- Collaborate on the content, design, and distribution of communications materials.
- Assist with office-wide mailings.
- Additional duties as assigned.
Staff meetings and Volunteer Time (~10%)
- Participate actively in OA internal meetings.
- Pursue volunteer opportunities that enhance personal and professional development.
Qualifications and Experience:
- Bachelor’s degree required
- Minimum 2 years work experience in related field
- Resident of Contra Costa County
- Fluent in Spanish and English
- Excellent written and oral communication skills
- Comfortable with some public speaking, and with communications with underserved patient population
- Proficiency with MS Access, Word, and Excel
- Superior organizational skills and attention to detail
- Good judgment and effective interaction in challenging situations
- Able to work some evenings and some Saturdays as needed
Desirable Characteristics:
- Self-motivated, fast learner able to keep pace with a growing demand for needed health services among the uninsured
- Proficiency in Cantonese, Mandarin, or other languages a plus
- Knowledge of local healthcare systems, stakeholders and medical terminology a plus
- Capacity to effectively handle multiple high-pressure tasks
- Ability to articulate OA’s mission and effectively lead volunteers in fulfillment of that mission.
Compensation:
